CASA BAY VILLAS RENTAL POLICIES
** IMPORTANT **
Effective December 31, 2006, the U.S. Government's Intelligence Reform Bill REQUIRES PASSPORTS for all American Citizens traveling by air and sea to or from Mexico, Canada, Central and South America, the Caribbean and Bermuda.
Reservation Deposit Required
Casa Bay Villas will CONFIRM your luxury villa reservation to you via email. A Deposit of 50% of your total reservation will be due within five days. Final Payment will be due 60 days prior to your arrival at the villa. If a reservation is made 60 days or less prior to arrival Casa Bay
Villas will require full payment plus your Security Deposit to confirm your
reservation.
Rates are not guaranteed and can be changed without notice until deposit has been received at Casa Bay Villas.
Upon receipt of your deposit payment we will forward to you our Information Packet which will include our Rental Agreement Terms & Conditions, Waiver of Responsibility, Guest Arrival Information, Menu/Beverage Selections, (Rates do not include cost of food and beverages nor taxi fare when staff needs to make shopping trips), Airport Transfer Options, Villa Information, Activities Guide, Restaurant Guide and General Information on Puerto Vallarta, Mexico.
If your villa offers Cook Service - Your First Evening Dinner at the villa will be a Traditional Mexican Dinner unless you specify another choice.
Your Menu Selection for your First Morning Breakfast & Beverage Selection must be completed and returned to our office via SCAN or FAX at 203-386-1941 no later than six weeks prior to your arrival at the villa.
Your villa will have menus for you to make your selection for the following day. The cook will prepare Two Meals per day during your stay at the villa. Breakfast/Lunch or Breakfast/Dinner. The cook will do all the food and beverage shopping. All receipts will be submitted to you for reimbursement. Taxi Fare will be added to all your shopping receipts. We estimate food and beverage cost to be approximately $25.00 to $35.00 per person/per day depending on your selections. PLEASE NO CHECKS OR CREDIT CARDS. PAYMENT SHOULD BE MADE IN US DOLLARS.
PLEASE NOTE: There is No Sunday Service at any villas as it is the Staff's Day Off. If you would like to have Sunday Service we can arrange this for you at an additional fee paid directly to the villa staff.
Final Payment Required
Final payment on your reservation will be due 60 days prior to your arrival at the villa. For all Holiday Reservation final payment will be due 90 days prior to arrival in Puerto Vallarta.
Accidental Damage Insurance - Security Deposit Required
All our luxury villa and condo rentals will require a refundable Security Deposit of $500 to $1500 for accidental damage during your stay. Your Security Deposit will be returned providing no damages occurred during your stay at the villa.
Guests occupying the property will be responsible for any damages caused by themselves or their guests to the property or its contents during their stay. Costs for damage will be limited to repairs or replacement value of items(s) damaged.
To host a Wedding Celebration in any of our luxury villa rentals depending on the number of guests attending your celebration all owners will require an Event Fee for
hosting your wedding at their villa.
Reservation Cancellation
A reservations will be cancelled if deposits are not received within five days of initial request. Casa Bay Villas reserves the right to treat any confirmed booking as cancelled if deposit schedules are not met. In the event of a cancellation after the deposit is received all payment and deposits are non-refundable unless the accommodations are re-rented by Casa Bay Villas for the original booking and at the discretion of the villa owner. If the property is fully re-rented a refund will be made less a facilitating fee. Partial re-rentals or rentals obtained at a lesser rate will be refunded in the amount of the re-rental less facilitating fee. No refunds will be made for unused accommodations or services.
All cancellations shall be submitted in writing and sent to Casa Bay Villas. All Holiday reservations are non-refundable. This includes CHRISTMAS, NEW YEARS, THANKSGIVING, EASTER and SPRING BREAK RENTALS. In the event any property becomes unavailable due to circumstances beyond the control of Casa Bay Villas after payment is received Casa Bay Villas will have the authorization/option of moving the reservation to a like property.
Trip Insurance
Casa Bay Villas recognizes that the unforeseen may happen in life and as a result the unpredictable circumstances may force you to alter your vacation travel plans and your vacation investment if the unexpected happens.
We highly recommend you consider purchasing Travel Insurance for your private villa and condo rental accommodations. Casa Bay Villas will be happy to assist you with your Travel Guard Insurance.
AccommodationsIn the event any property becomes unavailable due to circumstances beyond the control of Casa Bay Villas after payment is received, Casa Bay Villas will have the authorization/option of moving your reservation to a similar property.
Villa Occupants
Most villas have a policy of a maximum number of guests equal to 2 persons per bedroom. Maximum number of persons means adults and children regardless of age. The maximum number of guests will be confirmed on your rental agreement. If more people arrive than allowed, you will be denied occupancy at the villa. An extra per person/per night charge of $50 USD will apply. Tenants occupying the property will be responsible for any damages caused by themselves or their guests, to the property, or its contents during their stay. Costs for damage, will be limited to repairs or replacement value of items(s) damaged. Unlawful activities will not be tolerated and noise curfews affecting nearby properties will be enforced.
Gratuities/Tipping
All villa owner's take great pride in their staff. While the staff will never say anything to you about gratuities/tips, it is customary for staff to receive a gratuity on the day of your departure. While tipping is voluntary it is an important Mexican custom which supplements staff income based on the quality of service. In addition to the obvious monetary value, tipping meas a great deal to the staff in terms of knowing that their services are appreciated.
We suggest 10% of your total accommodations expenses as a total to the villa staff as a customary gratuity divided among the staff.
Or if you prefer, an amount of $12.00 to $15.00 per guest/per day seems to be the average gratuity.
Most guest find it best to bring white envelopes and personally hand their gratuity/tip to each individual staff member the day before your departure from the villa. This way some of the people who make your stay pleasant but whom you seldom see such as the gardener, and the watchmen are not forgotten. Should you leave the villa and forget to tip the staff or under tip the staff we may deduct payment from your Security Deposit at our discretion.
Should food and beverage bills not be taken care of before you leave the villa or the staff is not compensated properly with gratuities or for extra hours or days worked during your stay at the villa we may deduct payment from your Security Deposit.
Pet Policy
No Pets will be allowed in the rental property without written permission prior to your arrival.
